How We Choose The Right Project Partners (AKA The 4 P’s)

Finding the right project partners can be the difference between a project's success and a stressful, costly failure. With so many options available, how do you make the best choice? 

Simple – consider the "4 P's": Pricing, Product, Process, and People. These key areas help us evaluate potential partners and ensure a fruitful collaboration.

 
  1. Pricing (the least important “P”, in our opinion)

Transparency is Key: We look for vendors who are upfront and clear about their pricing structures. We avoid those with hidden fees or vague estimates. A detailed quote A) shows you this partner will be able to communicate clearly and B) helps prevent surprises down the line.

Value vs. Cost: The lowest price isn't always the best value (it often isn’t. We all know that old saying about if it’s too good to be true…). Typically, architecture/design/project management fees are a drop in the bucket compared to what you will pay for actual construction. Consider the ROI of choosing the right, long-term partner. 

Budget Alignment: Ensure the vendor's pricing aligns with your project budget. Discuss any potential cost overruns or areas where savings might be possible. 

WARNING: Beware of a vendor who shies away from talking about budget, schedule, or pricing without a clear explanation why. The right partner should have demonstrable knowledge in these areas. 

2. Product (or Service)

Alignment: Does the vendor’s style/expertise/product align with you and your project? If their portfolio looks like an Italian Villa catalog but you are remodeling a classic Chicago bungalow, are they the right fit? 

Quality Matters: The vendor's product or service should meet your quality standards and project requirements. Request samples, case studies, or a tour of one of their current projects to verify their capabilities.

Customization and Scalability: If your needs are unique or likely to change, choose a vendor who can offer customization and scalable solutions.

Innovation: Does the vendor stay up-to-date with industry trends and offer innovative solutions? This can give you a competitive edge.

3. Process

Clear Communication: A well-defined process with clear communication is essential. The vendor should be able to explain their workflow, timelines, and how they handle potential issues.

Project Management: Inquire about their project management approach. Do they have a dedicated point of contact, regular updates, and a system for tracking progress?

Flexibility: While a clear process is important, some flexibility is also necessary. The vendor should be willing to adapt to unforeseen circumstances or changes in project scope.

4. People

Expertise and Experience: The vendor's team should have the expertise and experience to handle your project successfully. Check their credentials, experience, and client testimonials.

Communication and Collaboration: Effective communication and collaboration are crucial. Choose a vendor whose team is responsive, proactive, and easy to work with.

Cultural Fit: Consider the vendor's company culture and values. Do they align with your own? A good cultural fit can lead to a more positive and productive partnership. 

Do you like them? Projects can range from a few months to many years, so you will spend a lot of time together. Life is better when you surround yourself with people you actually want to be with!

By carefully evaluating potential vendor partners based on these 4 P's – Pricing, Product, Process, and People – you can significantly increase your chances of finding a reliable and successful collaborator.
